Review Inbox for Small Business: What It Is and How to Use It

A review inbox is a single dashboard that collects every customer review — Google, Trustpilot, Facebook — into one feed, so you can read, filter, and reply without logging into five different platforms. Instead of checking Google Business Profile on Monday, Trustpilot on Wednesday, and forgetting Facebook entirely, you open one page and see everything.

For a local business owner, the inbox is the difference between a review sitting unanswered for three weeks and a reply going out the same day. And same-day replies matter: customers read your responses as much as your reviews.

Why a review inbox matters (the problem it solves)

Here's what review management looks like without an inbox:

The inbox fixes all four. Every review lands in one chronological feed the moment it's posted. You see the star rating, the platform, the text, and whether it's been replied to — at a glance. One person (or team) works through the queue. Nothing slips.

How PandaPrism's review inbox works

Step 1: Connect your profiles

After signing up, you connect your Google Business Profile via Google's official login (OAuth — we never see your password). Trustpilot and Facebook connect the same way. Reviews start syncing into your inbox immediately; your full history comes in behind it.

Step 2: Open the inbox

The inbox is the first thing you see after login. Every review appears as a card with:

[Screenshot description: The inbox showing a mixed feed — a 5-star Google review with the Google "G" badge, a 3-star Trustpilot review with the green Trustpilot star badge, and a 1-star Facebook review with the blue Facebook badge. The 1-star review is highlighted with a red left border.]

Step 3: Filter to what matters

Three filters, all in the URL bar (so you can bookmark them):

Step 4: Reply (or draft with AI)

Every review card has a reply box. Type your response and hit send — it posts back to the platform under your business name. For the blank-page problem (it's 11pm and you're staring at a 2-star review), hit Generate draft and the AI writes a reply in your tone. You read it, edit if needed, approve it. A human always sends — the AI never posts on its own.

Step 5: Flag the fakes

Spam review? Competitor hit job? Hit Flag on the review card. Flagged reviews can be hidden from the queue with the toggle, and the flag is logged — so if you later report it to Google, you have a record of when you spotted it and why.

Inbox workflow: the 10-minute daily routine

The inbox is designed for a routine, not a project. Here's the one we recommend to every new account:

  1. Filter to 1★ + 2★ (2 minutes). Read every one. These are urgent — reply today.
  2. Generate AI drafts for each (3 minutes). Review, tweak, approve.
  3. Switch to 5★ (3 minutes). Thank every one — a thanked customer reviews again.
  4. Glance at 3★ + 4★ (2 minutes). These are your swing reviews; a good reply often earns an update.

Ten minutes a day. That's the whole system. The businesses with the best online reputations aren't doing anything exotic — they're just consistent, and the inbox makes consistency easy.

Multi-location inbox

On Pro (3 locations) and Agency (10 client sub-accounts), the inbox adds a location switcher. Each location gets its own filtered feed, but you can also view all locations together — useful for spotting patterns ("why are all three locations getting wait-time complaints this week?").

Agency accounts get client switching with co-branding: your clients see their reviews under their brand, not yours.

What the inbox doesn't do (honest limits)

Want the inbox to watch itself? Anomaly detection flags unusual review patterns automatically — a sudden 1-star cluster, a volume spike, a rating slide — so you catch problems the daily routine might miss. And Pocket Panda (Pro) pushes urgent alerts straight to WhatsApp, so the 1-star never waits for your next login.

Frequently asked questions

What is a review inbox? A review inbox is a single dashboard that pulls customer reviews from Google, Trustpilot, Facebook, and other platforms into one feed. Instead of checking each platform separately, you read, filter, and reply to every review from one page.

How do I manage Google reviews for my small business? Connect your Google Business Profile to a review inbox (like PandaPrism's), check it daily, reply to every review within 24 hours, and use AI-drafted replies to handle the volume. The 10-minute routine above is the whole system.

Can I reply to Google reviews without logging into Google? Yes — with a review inbox, you reply from the dashboard and the response posts back to Google under your business name via Google's official API. No Business Profile login needed for daily replies.

How fast should I reply to reviews? Within 24 hours for negative reviews (1–2 stars), within a few days for positive ones. Speed signals to future customers that you're paying attention. The inbox's star filter makes this triage instant.

Does the inbox work for multiple locations? Yes. Pro supports 3 locations and Agency supports 10 client sub-accounts, each with its own filtered feed plus a combined view.

What happens to my reviews if I switch platforms? Nothing — your reviews live on Google, not in the software. Connect the new tool to your Google Business Profile and your history syncs in. Switching inboxes costs you nothing.
